All-round Administrative Support (M/F/X)

As an All-round Administrative Support within the PGS team, you will join a rapidly growing company with a family atmosphere, yet within an international environment. We offer interesting training and opportunities to further develop yourself.

Together with a close-knit team of colleagues, you will work in Poperinge.

Which tasks will you perform?

Administration and Data Management

  • Register collections, delivery notes, and orders in our ERP system (E-pack) and customer portals.
  • Ensure timely and accurate data entry into various systems and databases.
  • Maintain accurate records in Excel and other relevant formats.
  • Keep office documents organized and perform various administrative support tasks.
  • Assist in preparing and compiling reports as needed.
  • Process shipping documents and related logistical paperwork.
  • Count inventory and report inventory levels to the Site Manager.

Customer and Supplier Interaction

  • Daily communication with customers by phone and email, guaranteeing high-quality service and support.
  • Respond to questions from customers and suppliers and resolve issues efficiently and professionally.
  • Welcome customers and visitors and always ensure a welcoming and professional environment.

Logistics and Operational Support

  • Welcome truck drivers for the loading and unloading of pallets, ensuring smooth and safe processes.
  • Organize and track supplies on the construction site, including uniforms and PPE (personal protective equipment).

HR & Training Support

  • Support the Site Manager with HR-related tasks, such as entering time and attendance data, managing sick leave/absence certificates, and general HR administration.
  • Ensure that payroll data is accurate and up to date.
  • Register new starter induction and training data in the training matrix.
  • Ensure training data is regularly updated and well maintained.

Health, Safety and Reporting

  • Record hazards, near misses, and Bsafe entries in the FastWorks system.
  • Contribute to a safe working environment through accurate reporting and proactive follow-up.

Who are we looking for?

  • You have proven experience in administrative roles.
  • You have a good command of Dutch, French, and English.
  • Knowledge of Microsoft Office (Outlook, Word, Excel).
  • Ability to learn quickly and adapt to new software, including our ERP system after internal training.
  • You work accurately and have an eye for detail.
  • You have a strong affinity with numbers.
  • You are structured and proactive.
  • You can work independently, but are also a team player.
  • You are able to set priorities.
  • You have a hands-on approach.
  • You are enterprising, respectful, and result-oriented.
  • You not only embody the organization's sustainable corporate values in your job, but you also actively apply them in the rollout of processes and in any negotiations that lead to optimizations.

Practical information

  • Your place of employment is PGS De Backer Pallets: Sint-Jansstraat 19, 8970 Poperinge.
  • Work schedule: full-time from Monday to Friday.
