Administrative Support (M/F/X)

As an employee within the PGS team, you will be working in a fast-growing company with a family atmosphere but still within an international environment. We offer interesting training courses and opportunities to develop you further. Together with a close-knit team, you will work from Germany.

This position provides general administrative support across the site, assisting departments such as Finance, Human Resources and Operations, and working in close collaboration with different departments. 

Which tasks will you perform?

General administration

  • Provide all-round administrative support for the UBP sites & Giesdorf site.
  • Manage and follow up on documents, data and internal admin processes.
  • Ensure accurate and structured administration.
  • Act as a central contact point for HR & administrative questions.
  • Administrative coordination between sites Finance & HR.

Finance-related

  • Provide administrative support for accounting activities and financial data.
  • Follow up on customer accounts and payments administratively.
  • Process and verify incoming invoices accurately and timely.
  • Support daily accounting tasks following internal procedures.

HR-related

  • Be first point of contact for employees with questions about human resources and aligns with BE HQ.
  • Support the Plant Managers in tracking of attendances and absences, daily follow-up of registrations (overtime, etc.) via the time recording system (Protime).
  • Support administrative follow-up of personnel files and contract management?

Who are we looking for?

Qualifications:           

  • Bachelor’s degree or equivalent through experience.

Experience:                    

  • Any experience in a similar role is a plus, but what matters most is your desire to work hard and succeed in your job.
  • or
  • A first professional experience in a similar position in an (international) SME environment of preferably 3 years.


Competencies

  • Fluent in verbal and written communication German and English.
  • Is expert in Excel and is strong with numbers. Is ready to master our own ERP package and/or other IT software programs.
  • Highly developed, demonstrable skills in teamwork and people leadership. Has a hands-on mentality and a pragmatic mindset.
  • Able to perform analysis, number cruncher.
  • Can work in a multicultural and international environment.
  • Acts as a confidential advisor and is pragmatic.
  • Ensuring compliance with the PGS Code of Conduct and relevant standards and legislation.
